Challenge
Outwood Grange Academies Trust required a cleaning partner capable of mobilising services across multiple schools within a short timeframe while maintaining consistent standards across both primary and secondary academies.
The Trust manages a diverse portfolio of schools across Wakefield, Pontefract, Doncaster, Sheffield, and Scunthorpe. Each academy operates in a different environment with varying building layouts, usage patterns, and operational priorities.
The challenge involved implementing a consistent cleaning service model across 11 academies while ensuring the transition took place smoothly ahead of the new school term.
This required careful coordination of staff, equipment, and mobilisation planning, as well as deep cleaning work during the Easter break to ensure every site was ready for the return of pupils and staff.
Mobilisation & Solution
ICS Cleaning Services secured the contract to deliver cleaning services across 11 Outwood Grange Academies Trust schools, following a competitive selection process based on our extensive experience within the education sector.
Working closely with Trust leadership and individual academy site teams, ICS developed a structured mobilisation plan covering staffing, equipment deployment, site preparation, and operational management across all locations.
More than 60 cleaning staff were deployed across the schools, supported by an experienced management team responsible for ensuring the transition was well organised and communication remained clear throughout the process.
During the Easter break, our teams carried out extensive deep cleaning across the academies to ensure that each school was fully prepared for the start of the new term.
Delivery Model
The cleaning service was structured to support multiple academies while maintaining consistent standards across each site.
The contract covers approximately 900 weekly cleaning hours delivered across the 11 schools. Dedicated cleaning teams work to structured schedules tailored to the individual needs of each academy.
To support service delivery, ICS deployed a full range of equipment across the sites, including more than 80 vacuum cleaners, over 300 mopping systems, 11 carpet cleaning machines, and additional specialist cleaning equipment where required.
Local supervisors and management staff oversee operations across the academies, ensuring clear communication with school leadership teams and providing ongoing support throughout the contract.
QA Approach
Maintaining consistent standards across multiple academies requires strong supervision and clear quality monitoring processes.
ICS supervisors conduct regular inspections across the schools to ensure cleaning standards remain high and that each academy receives a reliable service.
Communication with Trust representatives and individual school site teams forms an important part of the service delivery model, allowing ICS to respond quickly to feedback and operational needs.
This collaborative approach ensures cleaning standards remain consistent while maintaining flexibility to support the operational requirements of each school.
Outcomes
The mobilisation of the 11-school contract was delivered successfully, with all academies prepared and deep cleaned ahead of the new school term.
ICS deployed more than 60 staff and implemented structured cleaning schedules across approximately 900 weekly cleaning hours, ensuring each academy received consistent daily support.
Feedback from academy staff highlighted the immediate improvement in cleanliness following the deep cleaning programme.
The Trust also recognised the strong communication throughout the transition period, with ICS providing regular updates and maintaining close collaboration with academy teams.
The result was a well-managed transition and a cleaning service that supports clean, safe, and welcoming learning environments across the Trust’s schools.
